ADVANCED MANAGEMENT SERVICES ASSOCIATION MANAGEMENT PROGRAM

Advanced Management Services offers a wide range of association management services that are customized to the needs of each individual association we represent. Working with the association board of directors Advanced Management offers the following general services:

General Management 

As a general manager of your POA,COA , HOA  Advanced Management will maintain all governing documents including all covenants, by-laws and architectural guidelines.  We will also build a database particular to the requirements of your association.  This is normally done through the accounting program. This custom database will allow us to:

  • Better track all current owner’s by name, address, etc.
  • Efficiently communicate special messages from the association board to the homeown
  • In conjunction with community ride-through program, the database will allow us to track covenant violations, send out correction letters and otherwise enforce the codes and covenants of the
  • Prepare and mail invoices for association dues.

 

Accounting Program: Working from the afore mentioned custom designed database, Advanced Management is able to easily and effectively manage all accounting issues associated with your association. Our accounting capabilities include, but are not limited to, the following:

  • Set-up necessary bank accounts and reconcile
  • Establish and maintain records showing receipt of all
  • Track and invoice all necessary subcon tractors and service companies.
  • Perform periodic internal audits to insure the proper handling of all association fund

 

Construction Management Program: Regardless of its stage of development every association runs into construction-based issues. For example:

  • A brand-new development is working to develop architectural guidelines and needs someone to review plans submitted by builders to ensure the y conform to the set guidelines
  • A homeowner in an established community wants to add an addition on to their home and the association needs someone to approve the plans, colors and materials and to monitor the construction of the
  • A homeowner wants to build a fence in his yard but is unsure of any special stipulations set-up in the covenant

Advanced Management will work with your association to develop guidelines for reviewing construction plans and ensuring that they conform to you community's codes and covenants.

 

Supervision of Maintenance Program:  Maintain common areas and amenity centers is an ongoing process that needs constant attention. Advanced Management can manage maintenance crew's (including landscapers) and monitor common areas and amenity centers, presenting the board with recommendations for necessary repairs.

 

Marketing & Public Relations Program:   Residential communities   face two distinctive and dynamic marketing and public relations dilemmas.  The first is regarding the means by which to bring new residents into a community.  The second is how to keep them satisfied with their homes and association once they are there.

Property Management Program: Employing a real-estate agents licensed in the state of Georgia. Where the owner/managers of Advanced Management can list, sale or rent any existing homes in your community, we seldom participate in this activity if the association feels it could be reviewed as a conflict of interest.  However, we can work with real estate companies to minimize the number of vacant properties in your neighborhood.   We can work to ensure that all owners/renters are aware of the association and its codes, covenants and restrictions.

 

Financial Records & Reports Checklist

 

The following list constitutes the basic but essential reports and records that must be kept for audit and tracking purposes.  Conforming to the generally accepted accounting principles required for use in any fiduciary role, Advanced Management will ensure that the following checklist items will always be up-to-date and available to the association board of directors whenever they are needed.

 

  • Check Register
  • General Ledger
  • Bank Reconciliation s
  • Balance Sheet
  • Statement of Revenues & Expenses
  • Schedules for Reserve & Replacement Funds
  • Aged Receivables Repo rt
  • Other financial reports required by the association board of directors or by other certified professional engaged by the board to assist the
